I'll tell you when I've done it. It's a question of finding a gap in my negotiator's diary.

Beatrix - just a quick note to let you know I'm not ignoring your question. I'm in the middle of negotiations. They're going a little slowly, but that's to be expected. I'll post again as soon as I have an answer.

As noted elsewhere, I'll have confirmation or otherwise of the date by this time next week. And we now have a backup plan.

I spoke with Jez last night, the chap who organised Pamelia Kurstin's tour of the UK, and if the School venue falls through Jez will be helping find an alternative.

News on the venue. (Costs will be dealt with in the finance thread.)

With regards to availability, of the two possible dates, the first, Friday 30th March to Sunday 1st of April 2007 is not available as they have a Choral Society booked. I can see their point that our music may not be exactly compatible.

However the second date, April 13th to 15th 2007, is available and we are pencilled in for it.

At the moment the exact amount of accommodation available is not known. Suffice to say, first come first served, until the space runs out.

With regards to the concert planned for the Sunday afternoon, they are amenable to the idea - the Choral Society are apparently doing something similar.

The school are having another meeting next Tuesday, at which time more information should become available.

Additionally Maya and I have arranged to visit the school on Tuesday 24 October (i.e. during the half-term holidays) to review the accommodation.

On the plan-B front, we will be looking at another public school in the local area for comparison of costs etc, and also another possible venue has come to light. (Note for overseas readers - "public school" is English for "private school" - i.e. not state funded.)

Also... On the 18th of October I will be playing at "Passing Clouds" - a very new art-music venue in London. http://passingclouds.org/

From their myspace site:

"On 1 June 2006, Passing Clouds Works was established by a collective of artists, film makers, musicians, photographers, writers and the like on the corner of a back alley by the old railway line in Dalston. The former print-works is now the home to one of East London's most exciting new arts ventures hosting vibrant art, film, theatre and music events. [...] Passing Clouds Works is available to hire for location filming, rehearsal space, hosting events, photographic shoots and much more. We are looking for promoters to run events, or anyone with an idea for a regular night, be it literary, art, music, performance or education based."

The obvious disadvantage is the need to make separate arrangements for accommodation, i.e. cutting a deal with a local hotel, which will doubtless be more expensive. On the other hand it is well located for garnering an audience for the Sunday afternoon concert, being in the same area as a lot of other alternative music activity in London.

Plan A is no more. It has ceased to be. It is an ex-plan.

Got a nice email from the School. In their second meeting they managed to work out they did not have any accommodation available.

So, Plan B. And Plan C.

Plan C is another residential school near Watford. Maya will be looking into this.

Plan B is Passing Clouds. Having seen the venue in action, I think it could work very well.

With a different venue, different location, different architecture and facilities, comes a new version of events. I'll be thinking about this over the next few days, as pretty much the first thing a venue asks is "so what are you going to do in our property?" It's a fair question.

OK - first the big downside - cost of hotels in London. Well it's not the most expensive part of London, that much is certain, but I can look into it. (Also car parking.) However, I think a lot of people will like Option A - bring a sleeping bag and a toothbrush, there's a fair selection of sofas if you like sofas, and plenty of floor if you like floor. I like floor. Facilities are virtually non-existant, but the price is right and if you want to sit up chatting quietly until whenever, that's cool. Probably we'll start sessions at 10 or 10:30 in the morning.

Depending on the cost, we might think about taking it Friday PM to Monday AM. (This is assuming a Summer date as originally planned.) This would give us use of the performance area downstairs for Friday, Saturday and Sunday evenings, and the potential to put something on for a paying audience three nights running. A Theremin Festival, if you like. The venue is located in art-music land, which helps.

This would give performers the chance to put on a decent length set. I'm thinking say three acts each night, each with 40 minutes would make a two hour show. Say 8:30 pm to 10:30 pm. Ooh - just a thought - we could do a "buy two get one free" deal on tickets. :-)

After the show, we retire upstairs, and on the first two nights we socialise and play for each other, maybe try out a few ideas for Sunday. And on Sunday we bring the audience upstairs with us after the show downstairs, for the first and possibly only performance of the UK Theremonic Orchestra, or whatever we choose to call ourselves.

This would be the rough and ready end of the symposium spectrum - plenty of pitching in for tidying up duties required, queueing for the toilet and eating takeaways, but it offers to be a totally immersive - eat, sleep and breathe theremins for a whole long weekend - experience, and in a very relaxed environment that a lot of attendees will probably be familiar with.

Thoughts please.

Potentially cheaper, too, I guess?

Location looks good for both Londoners and those travelling in from further afield, and the festival approach is appealing. Only drawback might be the times - Mondays & Fridays are usually busiest & most expensive for travellers, but not a major issue.

Whilst the school seemed to be a 'grander' venue, this sounds like it could be more informal, relaxed and enjoyable.

How about "U LOT" - the UK League Of Thereminists?

I don't know about cheaper yet, but I'm confident that as an organisation Passing Clouds will be more responsive. The Royal Masonic mills do seem to grind exceedingly fine.

With regards to travelling costs, the trick is plenty of notice so that people coming down by train can benefit from booking well ahead. Also if we have it in the summer people thinking about coming from overseas have the option to make it a part of a longer vacation. The UK's a pretty good holiday destination.

U-LOT - very good. "Oy, you lot! Woo!"

UK League of Thereminists. I like that - It's got a nice ring to it, and doesn't commit to a specific style of music. Certainly worth considering: works as a full name and as an acronym.

I might be one of the overseas attendee. It would definitively be easier if the theremin weekend would take place over the Easter time or summer time, which means over some holidays time. Otherwise, some people (myself included) might not be able to stay for the whole weekend.
The festival option sounds quite nice. A deal can maybe be made with an hostel closeby to get cheap rooms for all of us or for the one that don't want to sleep 3 nights on the floor -although i personnaly wouldn't mind.
Maybe this "festival spirit" can be kept even if the venue is in the school. Festivals are usually divided in different music style depending on the night. What do you think? an avangarde night and a classic night? all mixed up?

I like U-LOT a lot! good one!
